The client is a higher learning establishment. This client offers undergraduate, graduate, secondary education, and professional programs. The institution manages a substantial amount of student enrollments every academic year. These enrollments require cooperation between students, faculty advisors, department chairs, and program directors.

As student enlistment numbers rose, the current procedure became difficult to manage and slow to complete.

Challenges

The student course enrollment process was excessively manual and needed multiple approvals.

The main challenges included:

  • Paper based enrollment using generic PDF forms.
  • Multiple approval levels for each enrollment request.
  • Repetitive steps for different course types.
  • Long processing time of up to one week per enrollment.
  • High administrative workload for front desk staff.
  • Limited visibility into enrollment status for students and staff

These issues caused delays and unhappiness for both students and administrative teams.

The institution wanted to simplify and speed up the enrollment process without removing required approvals.

The key purpose were:

  • Reduce manual effort in course enrollment
  • Shorten enrollment turnaround time

  • Reduce dependency on paper and PDFs
Solutions
  • The existing paper based process was replaced with a fully electronic enrollment solution. A common electronic form was designed to handle enrollments for more than 20 different course types. The solution was built on a single workflow that supported multiple approval paths based on course and program rules. Where course specific logic was required, it was handled within the workflow rather than through separate forms.

Implementation

The implementation focused on making enrollment simple for both students and staff. A single electronic form was created for all courses, along with automated approval workflows for faculty, department chairs, and program directors. Front desk staff were given admin access, and forms were automatically assigned based on student eligibility and program rules. Submissions and approvals were handled digitally, and the system was connected with the existing student and course database to pull accurate data and reduce manual errors.
