Previously, the evaluation process relied on emails, spreadsheets, and manually shared documents. As the organization expanded, this approach became complicated to manage.

Challenges

  • The HR evaluation process was manual and highly dependent on sequential approvals.
  • Evaluation forms were sent through email to multiple reviewers
  • Each reviewer depended on the previous person completing the form
  • Spreadsheets and documents caused inconsistency

Solutions

Acme One designed a workflow driven HR evaluation application using K2 technology.

K2 Forms and Smart Forms

We developed structured evaluation forms using K2 Smart Forms. These forms ensured that data was captured in a consistent format within defined timelines.

Customized Workflow Design

The initial workflows provided by the client were basic and lacked detailed conditions. Our consultants worked closely with the HR team to redesign and refine practical workflows that matched real reporting structures.

Automated Sequential Routing

The system automatically routed evaluation forms based on reporting hierarchy.

For example:

  • The form is sent to Person A via email
  • If Person A completes the form within the deadline, it moves to Person B
  • If not submitted on time, HR receives a notification and reminder emails are triggered

Subsequent reviewers such as Persons C, D, and E receive the form based on structured dependency rules

Conditional Logic and Expiry Controls

Backend conditions were added to control form expiry, dependency validation, and escalation handling.

Automated Notifications and Reminders

The system sends automated emails on the assigned date. If the task is not completed, reminder emails are triggered automatically until submission or escalation.
